TAMPA - Coaches/Team Representatives
This is a quick guide to assist you with entering player rosters for an event, on the Prospect Wire wesite. If you follow these steps, you should have no trouble entering a roster on your own. Skip a step, and you will most likely find that your rosters did not save.
CREATING A LOG IN - TRAVEL COACH ACCOUNT
1.) The first thing you must do is create (if you do not already have one) a FREE TRAVEL COACH account on our site. You can do that by clicking the REGISTER/LOG IN area to the top right. ***Note, if you have been in a PW event in the past, chances are you have a log in already - simply contact email@example.com to have your information sent to you. This way duplicates are avoided.
2.) Every team, upon registering for an event - whether brand new or returning teams - will have their ORGANIZATION & TEAM created for them by Prospect Wire. When you create your travel coach account you will look to join your ORG that is already in the system. Creating your own team or organization creates duplicates, which will interfere with stats & rosters during events.
3.) Once you create your registration - it will send Prospect Wire an approval link. We will approve it almost immediately (but give it 24 hours just in case) and you will get notification to create a password and log in.
4.) Once logged in - you will go to EDIT TEAM link at the top. From here you will go to your ORG Management screen. You can access your Rosters, set your pitching rotations, add your logo, set colors for your Org Page, etc. When you access the Rosters link to the left, you will see a drop down that contains all the teams in your ORG for that year. Please remember to select the correct teams as there are both Summer & Fall teams if you play in our events year round.
CREATING A ROSTER
1.) Once you have selected the correct team, you should get either an empty row and brand new roster screen (if this is your first event of the year with us) OR a completed roster (if you are returning with the same team for a 2nd or 3rd event that year). If you already have a roster entered, you can add & subtract from the roster as you wish - please make sure JERSEY #'s are up to date at all times.
2.) If this is your 1st roster - you will start with an empty 1st row. This is the step most coaches or administrators miss - Start to type the first name you wish to enter. As you type, a wheel will spin and names may start to drop down. If the player is in the system, you will see his name drop down (keep in mind some players named Andrew may be in the system as Andy or Drew, etc and so forth). If his name is there, click on the name and the row should populate with everything except his jersey #. Check to make sure information is accurate and move on by clicking ADD ANOTHER PLAYER.
3.) If the player is NOT in the system - the only option that should still be left up is "MY PLAYER IS NOT LISTED" - if he is not in the system YOU MUST CLICK that option. If you do not and continue moving on typing away, you will get to the end and have an error and nothing will save. By clicking on that option, it will open up a blank row in which you will manually enter his name in each box (First & Last) and so forth. ANYWHERE THERE IS DROP DOWN AREA YOU MUST SELECT SOMETHING.
4.) If you go to enter a players HIGH SCHOOL OR CITY/STATE - and it does not show up...simply finish as much as you can. Send an email to firstname.lastname@example.org with the name of the High School (and the city it is located in) or the City & State you needed entered into the system. Do this in one email if you have multiple schools or cities...so they can be entered all at once.
5.) SAVE EVERY FEW PLAYERS - every so often the system will reset itself (not often, but it does happen) and the last thing you want is to enter 15 names, get to the end and have it happen only to find out you didn't save them. IF YOU ENTER CORRECTLY, WHEN YOU SAVE, A GREEN SHADOW BOX WILL GO AROUND A LIST OF PLAYERS AND THEN THE SCREEN RESETS ITSELF BACK TO THE ROSTER PAGE WITH EVERYTHING ALL NICE, NEAT & IN ORDER.
6.) If you do not enter correctly - it will have an error message in RED at the bottom. This most likely means you typed something in a drop down area and moved on without selecting one of the drop downs. Unfortunately it will not highlight which ones were done incorrectly, so you may have to start again if you do not recall which ones you entered incorrectly.

ROSTERS FOR ANY EVENT ARE DUE & MUST BE ENTERED NO LATER THAN 5 DAYS BEFORE THE START OF THE EVENT YOU ARE REGISTERED FOR. WHEN A ROSTER IS NOT ENTERED, THE FOLLOWING IS AFFECTED:
A.) Players on your team do not make the scouting packet that we put together for colleges or pro scouts attending. This is information scouts need to identify your players.
B.) Players are not able to have their stats & records kept and added to their Prospect Wire profile. Without a roster in the system, the names do not show up on our iScore Application and no information will be saved for those players.
C.) Players are not able to be scouted by Prospect Wire's scouting staff. When a roster is entered correctly, they are also uploaded to our PW Scouting Application, which our scouts use to enter scouting information they acquire while watching your son's games. If they are not in the system, radar gun readings cannot be recorded or saved, home to 1st times, or hitting/pitching notes.
Reminders will be sent out in the weeks leading up to the event, but it is the Coach's responsibility to make sure their rosters are entered and jersey #'s are accurate before the start of the event!
